Case: Integration of Kommo with the accounting service Xero Accounting

For a company in the field of migration consulting, we developed a two-way integration to automate work with financial data. The integration of Kommo and Xero allowed not only to speed up the creation and processing of invoices, but also to improve the interaction between the sales department and the accounting department.

Problems before implementing the integration of Kommo and Xero

Previously, the company's financial and commercial processes were separated. Sales managers entered transaction data into Kommo CRM, and accounting staff manually created invoices in Xero, then uploaded them to Kommo. This led to the following problems:

  • Errors in manual data entry.
  • Duplication of information.
  • Loss of time transferring data between departments.
  • Lack of centralized storage of financial documentation.

These shortcomings prevented the company from effectively scaling processes as the number of transactions increased.

Solution: Two-way integration of Kommo and Xero

The integration included two main scenarios that automated key stages of the work.

  1. Automatically create an invoice in Xero
    • When a certain event occurs in Kommo (moving to the "Payment approved" stage), the integration automatically creates an invoice in Xero.
    • All necessary data is transferred to the invoice: client name, amount, currency, description of services.
    • Once created in Xero, the invoice is automatically attached to the corresponding transaction in Kommo CRM, and its status is updated. This way, managers can see the invoice status (paid, pending payment, etc.) directly in the Kommo interface.
  2. Creating a deal in CRM when manually adding an invoice in Xero
    • When an invoice is created manually in Xero (for example, by a customer request that bypasses the standard sales process), the integration automatically creates a new deal in Kommo.
    • The deal contains all the data about the created invoice, which allows managers to immediately include it in the workflow.

Kommo and Xero Integration: Implementation Results

After the integration, the company achieved the following improvements:

  • Reduced data processing time. The process of creating invoices became almost instantaneous, which relieved the accounting department and allowed managers to close deals faster.
  • Reduced errors. Eliminating manual data entry has minimized the risk of human error.
  • Process transparency. Financial documents are now available to both managers and the accounting department, which simplifies collaboration.
  • Increased customer satisfaction: Fast invoice processing and clarity in financial matters have increased customer confidence in the company.

Technical aspects

To implement the integration, the APIs of both platforms were used. Triggers and webhooks were configured to ensure instant data exchange between the systems.

This case demonstrates how the integration of Kommo CRM and an accounting system can significantly improve a company’s internal processes and increase its competitiveness.
